Requisition Worksheets in Dynamics NAV 2013 R2

In this demonstration, we are going to look at how the Requisition Worksheet functions. This is a useful tool for requisition management in Dynamics NAV 2013 that can calculate and suggests a plan to create Purchase and Transfer Orders based on current Sales Orders and Inventory in the system.

The Requisition Worksheet

The Requisition Worksheet can be found by going to Departments >> Purchase >> Planning. Under Tasks click Requisition Worksheets.

The Requisition Worksheet has three main functions:

  • Calculate Plan
  • Drop Shipment
  • Special Order

Calculate Plan

Used to calculate a requisition plan for items and stock keeping units set up for replenishment by a purchase or transfer order. The batch job performs the following functions:

  • Investigates the demand and supply situation:

Inventory + Scheduled Receipts + Planned Receipts – Gross Requirement

  • Determines the net requirements for the item.

Also used to present a plan based on net requirements in the requisition worksheet as requisition lines accompanied by action messages.

The Calculate Plan pulls information from the Replenishment Tab of the Item or Stock keeping Unit Cards:

The Replenishment System field determines what type of document will be created in order to meet demand. The options are:

  • Purchase The program will create a purchase order.
  • Order – The program will create a production order.
  • TransferThe program will create a transfer order.

The Lead Time Calculation field is the date formula for the amount of time that it takes to replenish the item. For Purchase Orders, the Order Date + Lead Time Calculation = Planned Receipt Date. For Production Orders, NAV only uses the lead time calculation if the item lacks a routing. The calculation is the Starting Date + Lead Time Calculation = Ending Date.

The first two fields are applicable to all documents created from the Requisition Worksheet, and the headings in bold pertain to information needed for the specific types of documents. The Requisition Worksheet will only create Purchase and Transfer Orders.

Purchase

In order to create purchase orders, NAV needs to know the Vendor No. the item is typically bought from. The Vendor Item No. field can be used to specify the unique identifier assigned to that item in the vendor’s system.

Transfer

If items are purchased from a distribution center, then transferred to locations to be sold, the distribution center’s location code should be specified in the Transfer-from Code so the Requisition Worksheet can plan purchases for the distribution center and transfers to the store locations.

Action Messages

Once NAV has calculated the demand for items and created a plan, it can be reviewed in the Requisition Worksheet. NAV will suggest one of five action items:

  • New— Create a new order.
  • Change Qty. — Change the quantity on an existing order.
  • Reschedule — Reschedule an existing order.
  • & Chg. — Reschedule an existing order and change its quantity.
  • Cancel — Cancel an existing order.

Users should check or uncheck the Accept Action Message box on each requisition line if they want the suggested action to be completed. Once they are satisfied, they can click the Carry Out Action Message function on the NAV Ribbon:

Drop Shipments

In a drop shipment transaction, the vendor delivers sold goods directly to the customer. The company does not handle the physical goods involved in the transaction or receive them into inventory. A drop shipment can be recorded by selecting the Drop Ship checkbox of a sales line and setting the Purchasing Code to DROP SHIP:

Users can use the Get Sales Order function to create requisition lines for drop shipments:

Special Orders

A special order typically involves the sale of a non-stock item to a customer. It usually involves an order that must be shipped from the company (caused by customer preferences or for other reasons) and not drop shipped from the vendor. Typically, it is considered a special order because the purchase order that is sent to the vendor is generated from a sales order, and after that, the purchase and sales orders are linked. A special order can be recorded by selecting the Special Order checkbox of a sales line and setting the Purchasing Code to SPEC ORDER.

Users can use the Get Sales Order function to create requisition lines for special orders:
